Customize visits in DentalWriter Plus+ to edit form sections. At the end this article is a hands-on tutorial for you to practice
*Important Note* It is recommended to customize in a TEST patient chart using a NEW visit. You can customize in a real patient chart, but please note if you add/remove/edit items in a form section and apply the customizations to that form, it will alter any data entered in that section. Also, please keep in mind that any customization or adding or removing form sections will affect that specific visit and any future visits for all patients. The changes are not retroactive.
To edit items in form sections:
1. Start by opening a test patient chart. Choose the Visits & Forms tab and then select the blue +NEW VISIT button.
2. Select the visit you wish to customize, then select the green CREATE button. Note: when customizing in a test chart, if the box in the lower left corner is selected to import data from a previous visit, click the box to remove the check mark.
3. Once the visit is open, navigate to the tab that includes the form section you wish to customize. For this example, we are going to edit the section in CPAP Intolerance within the Other Therapies tab. Locate the ellipses (3 vertical dots) menu to the right of the title of the form section (CPAP Intolerance). Note this is not the ellipses menu located next to the title of the visit. Select Customize section content to make changes to that section.
4. Once you select Customize section content, a green CUSTOMIZE button will appear below the form section title. Select CUSTOMIZE. While the customize feature is active there will be a green dotted outline around the section you are customizing.
5. Items that already exist in the form section will display. You will find the following features highlighted below; to add (+NEW ITEM button), edit (Pencil icon), copy (Copy icon) or delete (Trashcan icon). You can also rearrange the order of the items by dragging and dropping using the drag handle to the left of the caption name.
6. When adding a new item, you will first choose the Type of Control, or what type of item you want to add. You will have different options depending on what section you are customizing. Some sections only allow certain control types. Make sure to use the scroll bar to see all options available for your section. For this example, we will add a CHECKBOX.
7. Next, you will enter the text as you want it to appear in the visit. If the item is being added to the patient questionnaire, this is how the item will display to patient in their questionnaire (online or printed on paper). If the item is being added to the exam, this is how the item will display to you; the patient will not see the exam. In this example, the item is being added to the questionnaire.
8. Next, enter the text as you wish it to appear in the SOAP note/narrative report. Initially, the text from the previous page will be copied over, but it is editable.
Be sure to pay attention to any Control Options listed below the text boxes. In this example, the control option indicates to enter <noprint> if you do not want this item to insert anything into the SOAP note/narrative report (only have it stored in the visit). For other control types, the control options may indicate to enter <text> or <number> for example. This allows you to construct the way the information is worded in your SOAP notes/narrative reports.
9. You can personalize the text that appears in the SOAP note/narrative report by using the Insert Patient Data options. For example, instead of the sentence reading “the patient’s symptoms”, you can insert the patient’s first name instead, or Mr./Mrs./Dr. followed by the patient’s last name, or his/hers. In this example, the patient’s first name was used. Click the green FINISH button to save your edits.
10. Any new items added will appear at the bottom of the list. Once added, you can then drag & drop the item into the position you want it to appear by using the drag handle to the left of the number position. Be sure to leave the Apply changes to the current patient form? box check marked in the lower left-hand corner if you want to see the changes immediately in this visit. Select the green SAVE button in the lower right-hand corner to see your changes.
11. It is recommended to preview the SOAP note/narrative report output, in case you need to make any edits before moving on. To do this, select or enter the new data, then choose the ellipses menu next to the form section title you just customized. There you will find an option labeled Preview text for SOAP Report.
12. By previewing the text, you know you may need to go back into the item you just created to edit the sentence.
13. After you have made all edits turn off the CUSTOMIZE feature by selecting the ellipses again and clicking on Customize section content to deactivate.
