What to do with a Duplicate Patient

Summary: If an online questionnaire and visit were downloaded to create a new patient and visit for a patient already in your system.

Note: There is no merge option or path (ie-Copy patient data from one to another) currently. The best method is to acquire what is needed from one and to manually re-enter into the other.

First locate patient you want to be de-activated. Open that patient record to obtain any relevant information in demographic information that is not in other patient record to keep and select to print. If determined both can skip to next steps.

Next, select the Visits button.

Select the VIEW VISIT button to open record.

Next, select the ellipsis or 3 dots next to the visit header, will activate view and select Print filled-in from

This will activate Print Filled in Form window. Make a selection here as to what will be relevant or needed to enter in new then select to print. Send to your connected printer.

Once it is confirmed that you have all information that is needed, can now de-activate this account.

The information selected to print will be required to be manually re-entered into new patient record.

With patient record still open, select Patient Info tab. Then under Personal information/Patient Status toggle Patient Status button to Inactive.

NOTE:  This does not remove the patient record completely and by inactivating patient record it only removes from view for any or active patients from current list view. In addition, if determined additional information required from old can still access and print.

Lastly, Open known good (Patient Record to keep) and anything printed will be required to be manually re-entered into new.

Tip: Make determination if patients are to be entered as part of internal processes in advance of receiving questionnaire, as well as look for triggers if trying to import a visit belonging to another patient with the same name already in system. As shown below.
